The Project

The Project

Ephemeral Tattoo was scaling quickly, opening new studios across the U.S., and needed stronger internal tools to support consistency and quality. As part of their Series B fundraising, I was tasked with redesigning the internal appointment management dashboard. The existing tool was a bare-bones HTML system supplemented by manual documentation. This setup left room for human error, lacked efficiency, and wasn't sustainable longterm.

THE PROBLEM

Tattoo Appointment Consistency

Appointment times varied widely between studios, leading to inefficiencies and inconsistencies in client experience. Without a standardized system, staff were burdened with manual processes that made scaling nearly impossible. To build trust with investors and deliver a reliable customer experience, Ephemeral needed a centralized dashboard that could handle the full appointment journey and ensure quality across locations.

THE CHALLENGE

Supporting Multiple Stakeholders

The dashboard served multiple stakeholders with distinct needs. The customer experience team relied on it for pre-booking communications, consent forms, design approvals, and post-appointment surveys. Meanwhile, tattoo artists needed the tool to be simple enough to support their creative workflow without adding unnecessary admin tasks. Balancing these perspectives while consolidating scattered manual processes into one reliable system was at the heart of the challenge.

SOLUTION & IMPACT

New Internal Dashboard

To ensure the tool addressed immediate needs, I carried out an in-person audit at the LA studio, mapping the full service flow. These insights revealed gaps in communication, redundancies in admin work, and opportunities to streamline. After user testing, the tool was rolled out to the studios. By consolidating tasks into a central hub, the tool eliminated the need for external manual tracking and established a scalable framework for consistent, high-quality appointments across all studios.
